So, when we get asked to help improve the patient experience, we look at their current practice management software and their business processes as part of our software implementation process. It’s not just recommending XYZ Software; anyone can look at Captera’s list and see what everyone else says is best. We take it a few steps deeper to ensure the patient experience is great.
One of the things we look at is how the medical records are kept. Will they be in the cloud? Will the patient have virtual access to them in case they need to see something? Or, do they have to call your office, fill out a form, wait for the staff to process it, and then get it in the mail? How much time does all this take?
How are appointment reminders sent? Or, are you even sending reminders at all? People are super busy and sometimes a simple text reminder about an appointment is all it takes to ensure patients arrive when they’re supposed to. This can be automated through your practice management software and settings can be adjusted accordingly.
How is information added to the practice management system? Do you have a million forms for your providers/team to complete as they’re treating a patient? That can all be automated and streamlined to improve patient experience (which will likely increase your staff’s efficiency too).
When you’re meeting with a new patient, how many forms do you have them complete? Is your team trained to ask for insurance as a second or third question? What does this communicate to the patient? When insurance is brought up that early in the process, it makes patients feel like you’re interested in billing their insurance instead of being interested in their story and how you will help them get better.
